You will work closely with internal teams and external partners, helping maintain strong relationships and ensuring information flows efficiency and compliantly. This role is pivotal to our continued success and offers a rewarding opportunity for the right candidate.
Role Overview
As our Referral Co-Ordinator, your role will involve managing administrative tasks that keep our office running smoothly in line with HSCP related services and contracts. This position requires a proactive, detail-oriented individual with excellent communication skills and a friendly approach.
Key Responsibilities
- Provide comprehensive administrative support to HSCP related services and contracts, managing the onboarding of new referrals including all paperwork and communication with both the Customer/Client to ensure compliance with Local Council.
- Act as a key point of contact for internal and external stakeholders, including local authorities
- Maintain accurate records, databases and tracking spreadsheets
- Manage incoming calls, emails, and general enquiries with professionalism and efficiency.
- Coordinate and schedule appointments, meetings, and staff rotas as needed.
- Maintain accurate records, databases, and filing systems ensuring confidentiality and compliance.
- Assist with basic bookkeeping and invoice processing tasks.
- Prepare and distribute internal communications and reports.
- Process referrals and provide service user information to Glasgow Council.
- Support audits, inspections and information requests as required.
- Ensure the office environment is welcoming and organised for staff and visitors.
Qualifications & Skills
- Proven experience in office administration or a similar role, preferably within HSCP, or Catering & Hospitality sectors.
- Excellent organisational and multitasking abilities.
- Strong written and verbal communication skills in English.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to manage competing priorities and work to deadlines.
- Ability to work independently and as part of a team during weekend hours.
- Attention to detail and problem-solving skills.
- Friendly, approachable, and professional demeanour.
- Basic understanding of bookkeeping and payroll procedures is advantageous.
- Experience working with HSCP’s or local authority contracts
